Who we are
KELVIN DIGITAL LIMITED, registered in Scotland under company number SC879940, is responsible for the personal information described in this notice. Our registered office is 16 Murray Place, Lamlash, Isle Of Arran, Scotland, KA27 8NH. For privacy questions or requests, email chris@kelvindigital.co.uk.
What we collect and why
When you contact us, we collect your name, email address and project description, plus any company or website details and timing you choose to provide. We use this information to respond, understand your requirements and discuss possible work. Without the required contact and project details, we may be unable to respond usefully.
Please do not send passwords, payment details or sensitive personal information through the enquiry form.
Our hosting service processes technical request information to deliver and protect the website. The enquiry form uses your IP address to limit repeated submission attempts.
Our lawful basis
We rely on our legitimate interests in responding to business enquiries, managing prospective business relationships and protecting the website against abuse. Where you ask us to take steps towards a contract with you personally, we rely on those pre-contractual steps for the processing necessary to do so.
Services we use
We use Cloudflare to host and protect this website, Resend to send enquiry emails, and Google Workspace to receive and manage correspondence. Sanity holds the website's authored content; our form does not send enquiry submissions to Sanity.
Our form handler does not create a separate enquiry database or log submitted message content. Hosting and email providers process information needed to operate their services and maintain their own records.
Processing outside the UK
Our service providers may process personal information outside the UK, including in the United States.
How long we keep information
We delete unsuccessful enquiry correspondence from our active mailbox 12 months after the last meaningful contact, unless a legal requirement or an ongoing dispute requires longer retention. If an enquiry becomes client work, we explain the applicable client-record retention arrangements separately.
Our providers maintain separate retention and deletion processes. Deleting correspondence from our mailbox does not immediately remove all provider backup or recovery copies.
Cookies and tracking
We do not use analytics or advertising scripts or application tracking cookies on this website. Hosting services may process technical information to deliver and protect the site.
Your rights
Depending on the circumstances, you can ask to access, correct or delete your personal information, restrict its use, or receive a portable copy. You can object to processing based on legitimate interests. Contact chris@kelvindigital.co.uk to make a request.
You can also complain to the Information Commissioner's Office: https://ico.org.uk/make-a-complaint/.
